Minor differences, major repercussions, reliable solutions

With mountains of complex and highly secure documentation and data generated across the electronics and semiconductor manufacturing sectors on a daily basis, managing changes to that information has become increasingly complex, driving a critical need for effective document change management processes and solutions to avoid potentially serious repercussions.

Setting the scene – the need for managing document change

In fact, across many industry and business sectors, terabytes of data, documentation, and structured content are generated every single day, and nowhere more so than in the workflows of enterprises across the electronics and semiconductor sectors. Indeed, the list of content is huge, from chiplet, graphics processing unit (GPU), and system-on-chip (SoC) specifications and integration documents, to manufacturing operations’ data and manuals, test plans, technical specs, and complex diagrams, not to mention packaging data, intellectual property (IP) libraries and design files, business, commercial, and compliance documentation, and much, much more.

And at various times in the lifecycles of each and every one of these different items, they may all be subject to changes, amendments, necessary alterations, and updates. In an ideal world, these will all be meticulously made, with humans, integrated systems, and tailored solutions working together to ensure every single structured database, or version of a particular document, in whatever format or language, e.g. XML, HTML, JSON, DITA, MS Office documents, and PDFs, is brought up to date.


However, where changes and updates are handled badly and poor document change management occurs, discrepancies between versions of the same item can have repercussions of varying degrees of seriousness; from those of a commercial nature, some possibly compliance-related, to others, potentially with safety and functional implications for an end-user product. Unclear documentation changes might, for example, include scenarios where an end user such as an electronics manufacturing services (EMS) company, must review a newly released version of a chip’s user manual without any clear summary of what has changed. With manuals often running to hundreds of pages, engineers and manufacturing teams may have to spend significant time manually comparing the new version with the previous one just to identify the relevant updates. This slow and resource-intensive process can delay design reviews, manufacturing decisions, and validation work. This can lead to costly redesigns, debugging, re-tooling, and significant production delays if a specification change is discovered only after designs or processes have already moved forward. And increased costs don’t just end there; product recalls can also result, leading to substantial financial losses for the end user, not to mention reputational damage and customer trust issues from product-liability claims, lawsuits, and regulatory penalties.

These are just some of the potential impacts and worst-case scenarios that could arise without effective document and data change management procedures and solutions in place across either a semiconductor or electronics-manufacturing enterprise. In general, working with an incorrect set of assumptions about how a chip functions, means successful product design becomes more a matter of chance, rather than the certainty assured when all content and documentation is up to date and can be trusted in equal measure.

Additionally, with enterprises now using content as data to feed internal RAGs (Retrieval Augmented Generation) on top of LLMs (Large Language Models), which can be used, enterprise-wide, to ask questions and quickly receive responses based on the RAG, the need to ensure ‘good data in, good data out’ is becoming a daily challenge. Failing to surface changes in documentation and data, and ensure validity of those changes exacerbates this challenge.

Implementing effective document change management

This is where the implementation of an effective content and data change management solution comes in, helping enterprises manage, analyse, and communicate changes in a more efficient and scalable way across the organisation; a solution to ensure the content integrity of every version of documents, databases, diagrams, technical writing, and designs used across the company’s ecosystem, no matter their format or language, (like those mentioned earlier). An effective process of document comparisons, revisions, and updates will help reduce or eliminate the chance of manual errors entering the workflow. This is essential for leading semiconductor players, like AMD, Arm, Intel, and NVIDIA, as well as Taiwanese makers such as TSMC, MediaTek, and UMC, if they are to keep their operations moving with accuracy and at scale. Effective document change management solutions will give technical writers in such companies the ability to clearly surface differences between document versions and merge updates without losing accuracy or context, equipping them with strategies and technology that make it easier to spot what’s changed, decide what matters, and apply those updates consistently across documentation sets, so an organisation’s content stays clear, current, and trustworthy.

If one considers a change to a document might be so minor it’s unlikely to be spotted by a person, yet may refer to a critical technical modification or parameter, having a document change management solution and process in place, that will detect and bring that change to the surface, is essential. For instance, the specification of just one component in an end product might, in version one of a document hundreds of pages long, have a resistance rating of 0.5 Ohms; if this is then revised and corrected by the technical writing department to 0.6 Ohms in a subsequent version, and is the only change in that whole tome, it’s likely a human won’t see it.

A reliable, embedded change management solution, on the other hand, perhaps supported by AI insights, will quickly spot it through precise comparisons of two or more versions of documents/datasets, identifying and bringing even the most minor changes to the surface. It will then automatically effect a successful merge process to bring multiple edits from multiple versions together into a single, accurate, conflict-free document.

Individuality calls for bespoke capabilities

As can be seen, document control, data management, version control, and process automation using powerful content and data change management solutions is crucial across an enterprise. No organisation in semiconductor manufacturing and electronics is the same as another and, as a result, being able to implement a ‘configurable’ comparison, merge, and validation solution, that integrates into custom and non-standard workflows across content and data, is a key advantage for a solution to have. So, for companies like the big aforementioned players, an enterprise solution underpinned by a specialist understanding of the client vertical market is preferable over traditional, basic, plug-and-play tools. Certainly, such stand-alone solutions remain totally relevant, with important roles to play across certain parts of business and industry, but a configurable solution that can be tailored to the specific documentation types and formats used in a particular vertical like the semiconductor sector, confers many advantages, particularly when implemented and supported by enterprise solutions providers with sector-specific expertise.
